These terms apply to bookings made with Express English College (EEC) for a group of students travelling together, whether made by an agent, school, organisation or group leader. They apply together with our General Terms and Conditions and with the group quotation or agreement issued by EEC. Where they differ, the group quotation or agreement applies first, then these group terms, then the general terms.
1. Quotation and Confirmation
- Each group receives a written quotation from EEC setting out the programme, dates, number of students and leaders, prices, what is included, and the payment dates.
- A group booking is confirmed only when EEC has accepted it in writing and the deposit has been received.
- Prices are based on the group size stated in the quotation. If the number of students changes, EEC may revise the price.
2. Deposit and Payment
- The deposit and balance dates are those stated in the group quotation. Where the quotation does not state them, section 2 of our General Terms and Conditions applies.
- Deposits paid for group bookings are non-refundable.
- If the balance is not received by the due date, EEC may release the places and accommodation reserved for the group.
3. Student Details
- The group organiser must send the final list of students and leaders, with the passport, health, dietary and emergency contact information requested by EEC, by the date given in the quotation.
- The group organiser confirms that each student (and, for students under 18, their parent or legal guardian) has accepted these terms and the General Terms and Conditions.
- For students under 18, signed parental consent is required before arrival and our Junior Programme Terms and Conditions also apply.
4. Changes and Cancellations
- Changes to dates, numbers, names, courses or accommodation must be requested in writing and are subject to availability. Changes may affect the price.
- Cancellation of the whole group or of individual students must be made in writing by the group organiser. The charges are those set out in the group quotation or agreement. Where the quotation does not state them, the deposit is non-refundable and sections 5 to 8 of our General Terms and Conditions apply to each student.
- If EEC has to cancel a group programme, EEC will offer alternative dates or refund the amounts paid to EEC for that programme.
5. Group Leaders
- Group leaders travelling with the group remain responsible for the conduct of their students and for supervising them outside the lessons and activities run by EEC, unless the quotation states otherwise.
- Group leaders are expected to work with EEC staff on welfare, attendance and behaviour.
6. Programme, Activities and Accommodation
- Timetables, activities, venues and excursions are published as samples and may be changed or replaced because of weather, availability, safety or other circumstances outside our control. EEC will make reasonable efforts to offer a suitable alternative.
- Accommodation is allocated by EEC and is subject to availability. Special requests are passed on but cannot be guaranteed.
- Students must follow the EEC Student Code of Conduct and the rules of their accommodation. Any damage caused must be paid for.
7. Insurance and Visas
- Each student and leader must have suitable travel and health insurance and is responsible for their own visa, as set out in our General Terms and Conditions.
